First of all, you must open a PowerPoint file (of course!) and then right click on the presentation window, pick the Print option. On the dialogue appears, set the Print what option into Handouts, and determine the number of the slides you want to print in one paper page. And click OK or Apply button. As we all know that the handouts take the slides into a smaller size, then if you have a lot of texts on the slides, better you set it to 2 – 4 slides per page (don’t put too many slides on the page) to make it still easy to read.

Beside of the these benefits, using this feature also allow you to have more spaces on the printed pages to make some notes about each slide, which you will be able to understand the material easier than before.

First of all, you should analyze and find out the elements that make this file huge, such as too many unnecessary pictures and many oversized pictures. To avoid having oversized pictures, you can compress their size by using the compress utility. You can find it in PowerPoint 2002 and 2003. How? Here’s what you have to do. Pick the picture, right click on it, and choose Format Picture. You can choose either to compress all the pictures, or the selected only. In change resolution, choose Web/Screen for slideshow presentation, or Print, for printing presentation. Under options, check the Compress Pictures’ box and Delete Cropped Areas of Pictures. Then Click OK.
